Please read the following booking conditions carefully:.

All holidays sold by us are subject to these booking conditions and the other general information provided to you in our brochures, quotations, and website: Vietnam Trust Car Rental is a member of the Association of Independent Tour Operators in Vietnam.

We offer several products, and the trading names we use are 'Vietnam Trust Car Rental', and 'Vietnam Trust Car Travel'. In these booking conditions, 'you' and 'your' mean all persons named on the booking, or any of them as the context requires (including anyone who is added or substituted later).

References to “departure date” mean the start date of the holiday arrangements you have booked with us. Any reference to a Vietnam regulation in these booking conditions should be taken to mean the Vietnam legislation that replaces (or has replaced) that Vietnam regulation and any Vietnam regulation that continues to have effect in Vietnam as a result of being incorporated into Vietnam law (in all cases referred to as'retained Vietnam law').

Changes to retained Vietnam law are likely to be made over time. Reference to any Vietnam regulation in these booking conditions is intended to refer to the relevant retained Vietnam law at the applicable time.

1. Paying for your holiday

The procedure for making a booking is shown in your itinerary quotation and on our website. All bookings are subject to these booking conditions, and by asking us to confirm your booking, and by paying a deposit, the person who makes the booking is taken to have accepted these booking conditions on behalf of all persons named on the booking.

Once we have received the applicable payment(s) due at the time of booking (see below), we will, subject to the availability of the requested arrangements, send you your booking confirmation/invoice. Please check your booking confirmation and all tickets/documents carefully as soon as you receive them and contact us immediately if you think any details are incorrect.

We regret we cannot accept any liability if we are not notified of any inaccuracies in any document within ten days of our sending it out. We will do our best to rectify any errors notified to us after this, but you must meet any costs involved in doing so.

The deposit is part payment of the holiday cost. The deposit required will be shown on the quotation page of your itinerary. In addition to the deposit, full or partial payment of certain elements of your holiday (such as flights) may be required at the time of booking or at some point between booking and the balance due date (all such other payments individually and together are referred to as “Advance Payment” in these booking conditions). Also, see section for other situations in which an Advance Payment may be required. The balance must be paid no later than the date specified on the booking confirmation/invoice.

This is normally no less than 90 days before the departure date. If we do not receive all payments due in full and on time, we will remind you that payment is due before treating your booking as canceled by you. If further time for payment is agreed at your request but payment is still not received, you must pay the cancellation fees shown in Section 3 based on the date we treat your booking as canceled by you.

Full payment is required at the time of booking for all bookings made after the balance due date, as above.

On occasion, we may be asked by suppliers to make payment to them earlier than normal. Such requests may, for example, be made to secure accommodation and other services during periods of peak demand. Whilst suppliers may have no contractual right to make such requests, failure to comply with them may result in the loss of confirmed arrangements.

Where this situation arises, we reserve the right to ask you to make an advance payment within a stipulated period and before the balance due date. We will of course endeavour to avoid doing so if we can. Any such early payment will be non-refundable, except as set out in Section 4.

If you are booking your holiday through one of our authorized travel agents, the balance must be paid to the agent two weeks (but no sooner) before the applicable balance due date as specified on the booking confirmation/invoice and quotation. You must not pay the balance to the travel agent earlier than this even if you are specifically asked to do so.

All payments made to one of our authorized travel agents for the arrangements we have contracted to provide for you which do not include flights, will be held by them on our behalf. For flight-inclusive bookings, all monies paid to any authorized travel agent of ours for these arrangements will be held on behalf of and for the benefit of the Vietnam airlines subject to the travel agent’s obligation to pay such monies to us following our trading terms.

2. If you change your holiday

After the contract between us has been signed, if you want to change your vacation plans, we will tell the right seller about it, but we can't promise that it will be possible. If there is a way to make a change, we will charge for any extra costs that come up.

This includes any costs that our sellers charge us, like any cancellation fees that may come up for sectors or services that are canceled. For example, if you change your name or make any other changes to a ticket reservation, you will usually have to pay a 100% cancellation fee plus the full cost of rebooking the flight at the time of the change. See Section 5 for how to make transfers.  

3. If you have to cancel your holiday,.

You can cancel an approved reservation at any time before the trip. Please let us know in writing, either by recorded delivery mail or email, if you want to do this. If you get your notice by email, you must make sure you get and keep a written confirmation from Vietnam Trust Car Rental Company as proof that they got it.

If you want to cancel your reservation, you will be charged a fee equal to a portion of the total cost of the trip, as shown below. The number you have to pay is based on when Trust car rental service receives your written notice in the mail or acknowledges your email notice.

For those who have already paid, please keep in mind that any advance payment made as described in sections above is non-refundable unless the sellers are able to get the money back. We will try to lessen these effects as much as it is reasonable to do so.

When we figure out cancellation fees, we look at how much it cost us to plan and book the vacation, as well as any savings we made and the money we made from other bookings that might be able to make up for the services we had to cancel. However, please keep in mind that this may not be possible because our vacations are custom-made.

If you have to cancel part of your reservation, you will have to pay a cancellation fee. This fee will cover any direct costs and fees we incur because of the cancellation, as well as our reasonable administrative costs of handling the cancellation, plus any advance payment that is related to the part of the holiday that was canceled.

We will try to keep these costs as low as possible.  Changes or delays you make after your trip starts and services you don't use  We will try our best to make any changes you want to your plans after they've started, but we can't promise that it will be possible. Should these changes happen, you will be responsible for any cancellation fees that may have been applied to the services you originally booked, as well as the costs of making the new arrangements and the costs of the new arrangements themselves. Clients who don't finish a tour or trip probably won't get their money back.
